Who is this for?
Businesses and teams needing branded email addresses.
What does it help you do?
Mailboxes managed under a business domain rather than personal accounts.

Scope and limits that guide the decision

The written scope defines actions and access within the selected product limits.

Selected package mailbox and storage limits

Match user count and mailbox storage needs to the chosen product limits, including the size of existing archives.

Webmail and supported email clients

Plan access through webmail and supported clients, identifying device configuration and old-message migration needs separately.

Mailcow antispam and DNS setup information

Review Mailcow antispam and DNS setup information, checking authorised DNS access, existing records and the timing of changes.

Planning domain-based mailboxes for a team

A conceptual example explaining the approach, not a customer project or an achieved result.

  1. Define the requirement

An example team lists its existing addresses, users and archive sizes.

  2. Distinguish the options

Mailbox resources are selected while old-message migration is separated from new service setup.

  3. Plan the checks

DNS transition is planned and sending, receiving and client access are checked with authorised test addresses.

An illustrative workflow, not a customer project.

A path from requirements to use

Timing, authorised access and responsibilities are agreed with the scope.

  1. Define mailbox count and domain

Record existing usage, dependencies and resource requirements.

    Planned outputRequirements and dependency list

  2. Prepare DNS access and existing email details

Compare features and billing periods; consider migration and licences separately.

  3. Track service and DNS setup in the panel

Track current product availability and setup status in the customer panel.

  4. Check sending, receiving and client access

Check access and basic functions, then define administration responsibilities.

Checks before putting the service into use

The product and written scope define final deliverables; not every item is included in every package.

  • Selected package mailbox and storage limits
  • Webmail and supported email clients
  • Mailcow antispam and DNS setup information
  • Checks of authorised access and relevant service settings
  • Records of application administration, extra services and support responsibilities

Product descriptions or proposals define limits and support. Migration and restoration require an explicit scope.

Questions that clarify the choice

Is delivery to the recipient’s inbox guaranteed?

No. Recipient servers, content and reputation affect delivery. DNS checks guarantee neither delivery nor inbox placement.

Will my existing messages be migrated automatically?

Old-mail access, size and transfer method require assessment. Opening a new mailbox does not include migration automatically.

Can I send bulk advertising email?

Business mailboxes are not a bulk marketing service. Marketing campaigns require a separate service and conditions.

Where should I check current prices and limits?

Check billing, mailbox resources and fees on the product detail page. Additional requirements are not automatically included.

Which work is considered separately?

Legacy-message migration beyond the package, bulk marketing and delivery guarantees are not included.

Packages and prices

Package prices exclude 20% VAT. Review the exact scope, billing period and any additional charges in the product details.

Frequently asked questions

What if I choose the wrong package?

You can upgrade while preserving your mailboxes and their contents.

When are my mailboxes ready?

When the order is completed, the domain and first mailbox are created automatically. A DKIM key is generated and the SPF record is prepared.

Can I transfer my existing emails?

Yes. Emails can be transferred from your existing provider using IMAP. Our support team can help during migration.

Can I use Outlook and my phone?

IMAP and SMTP are supported. Outlook, Apple Mail and your phone can access the same mailbox.

Will my outgoing emails go to spam?

DKIM and SPF help authenticate your sending; they do not guarantee inbox placement. If DNS is hosted elsewhere, add the records shown in your panel.
